Data we collect

Contact forms may collect your name, email address, preferred audit type, submission deadline, and message content. When you book work, we may also receive application drafts, programme briefs, and scheduling details needed to perform the review.

Purpose and legal basis

We process data to respond to inquiries, deliver contracted audits, issue invoices, and meet accounting or legal duties. Processing is based on steps prior to contract, performance of contract, legitimate interests in operating a professional practice, and consent where you accept optional analytics cookies.

Retention

Inquiry messages without an engagement are kept up to twelve months. Engagement files are retained for three years after the final invoice unless a longer period is required for dispute resolution or law. Cookie identifiers follow the durations listed on the cookies page.

Your rights

Subject to Japanese law and applicable international frameworks, you may request access, correction, deletion, or restriction of your personal data, and you may object to certain processing. Contact hello@digital-infraflow.digital to exercise these rights. You may also lodge a complaint with a competent supervisory authority.

International transfers

If email or file tools store data outside Japan, we rely on appropriate safeguards such as contractual clauses with providers and careful selection of processors. Application materials are shared only with the auditor assigned to your file.

Security

We use access-controlled mailboxes and limit who can open client drafts. No method of transmission is perfectly secure; please avoid sending unnecessary sensitive identifiers such as passport numbers unless we expressly request them for a scoped task.
